Invoicing, inside the hosting

You send the invoice.
We do the chasing.

The job finished three weeks ago. The invoice is somewhere in a customer’s inbox, and you’re the one deciding, again, whether today is the day you bring it up.

Once it’s past due the reminders go out without you: politely at seven days, firmly at fourteen, finally at thirty.

Before that, build the estimate, turn it into an invoice without retyping a word, and put a card button on it. Sales tax comes off the address you delivered to, broken out by jurisdiction, with exempt lines kept separate.

Built for a US sole proprietor or a small LLC, and carried by the $8.99 a month hosting the website already sits on, with no second bill.

Payment is due within 14 days of the invoice date. Balances unpaid after 30 days may carry a late charge of 1.5% per month, as set out in our terms of sale. Tax was calculated for the delivery address shown above; the exempt line is covered by the resale certificate we hold for this customer.

The four tax rates on this invoice are the published rates for Fort Worth, Tarrant County, read on September 3, 2026. State 6.25% and a 2% local ceiling: comptroller.texas.gov/taxes/sales. Crime Control District 0.50%: police.fortworthtexas.gov/ccpd. Rates change. DEVIQO looks the address up when the invoice is raised.

Every invoice comes out looking like this one.

The chasing, done for you

Chasing a late invoice, without you having to ask

Nobody enjoys asking for their own money, so DEVIQO asks instead.

Reminders are written and sent for you, in your name, from your address, in the order our piece on eight things that get you paid faster recommends.

The sequence stops the second the invoice is paid, and you can pause it for any customer you’d rather handle yourself.

One worked example, on real dates: each tick on the rule is a day, and the four stops below are the whole sequence.

  1. Day of issue Invoice sent · due

From: Ray Delgado, Caddo Ridge Signworks LLC

    Invoice INV‑0412 - $3,710.00, due August 26

    Hi Marisol,

Thanks again for the work. The invoice for the storefront is attached - $3,710.00 after your deposit, due on August 26. Sales tax is broken out by jurisdiction on the document, and the tote bags are on there exempt against the resale certificate we hold. You can pay by card straight from it.

    Marisol,

Invoice INV‑0412 for $3,710.00 was due on August 26 and is now fourteen days past due. Could you confirm the date it’ll be paid? If something on the invoice is wrong, including the tax, tell me today and I will put it right.

The tone stiffens. Amount and original due date stated up front, asking for a payment date rather than an apology.

Final notice before collection - INV‑0412

Invoice INV‑0412, $3,710.00, was due on August 26, 2026 and remains unpaid thirty days later. Our terms of sale allow a late charge of 1.5% per month on a past due balance, calculated below. Payment in full is requested within 7 days.

A formal notice setting out what is owed and what your own terms let you add to it - the letter most people never get around to writing.

Paid

The sequence stops the moment the money lands

The invoice marks itself paid, receipt R‑0412 goes out on its own, and no further reminder is sent.

Pause the chase for any customer you’d rather handle yourself, and it stays paused until you say otherwise.

Every payment lands in the ledger you export, which is most of the work in forecasting cash flow on a single page.

Late charges, counted for you, capped by your own terms

There’s no single federal rate for a late business invoice in the United States. What you may add comes from the terms printed at the foot of your own document, and state law puts a ceiling on it.

The ceiling depends on your state, and it’s a question for your attorney.

Put the figure in your terms once and DEVIQO counts the days and shows the running total on the final notice. Applying it stays your decision, and the wording that gets a late invoice settled matters more than the sum.

What it does

Everything your invoices and estimates have to do

Late payment is the biggest cash-flow problem a small American business has.

Winning the job is what the website and being found on Google are for. This is the part that shortens everything after it.

The same job, twice: estimate EST‑0188 as the customer accepted it on August 5, and invoice INV‑0412 as it went out on August 12. Every figure is carried straight across, including the line the resale certificate exempts. The one option the customer left unchecked stays off the invoice.

  1. 01

Estimates that are easy to say yes to

Itemized lines, your logo, your terms, a valid-until date, and optional extras the customer can check to add on. They accept online with a tap, and you see when it was opened.

Change the template yourself, in a few clicks with nothing technical to learn: logo, colors, wording, the terms at the foot. Or tell us how you want it to read and we set it up for you at no extra cost.

What goes in it is a separate craft. See what to include in an estimate and what to cut, and how to price your work without undercharging, before you write the numbers down.

    Where inquiries come from
  2. 02

    Accepted estimate, straight to invoice

One tap. Every line, price, tax status and purchase-order number carries over as estimated, and the estimate stays attached - so what was agreed is never a matter of memory.

  3. 03

    Numbering that can’t go wrong

Sequential, unique, no gaps and no reuse - the first thing an auditor looks at. Nothing is deleted either: a mistake is canceled by a credit memo and both stay on the record.

  4. 04

A pay button on the invoice

Card, Apple Pay, Google Pay, ACH or check, from the document they already have open. It marks itself paid, the receipt goes out on its own, and we take no commission - though the processor takes its own, and what card fees come to is worth reading before you switch it on.

  5. 05

    Deposits, progress billing and retainers

Take a third up front before you order materials, which is the surest way of stopping no-shows with a deposit. Split a big job into stages with their own due dates and links. Put a retainer on repeat so it goes out without you remembering, by whichever of ACH, bill pay or card suits the customer.

  6. 06

    Sent from your own address

Invoices go out from an address at your own domain, not a free webmail account that looks like a scam. Fewer land in spam, and the reply comes back to the same inbox - business email on your own name changes the reply rate more than most people expect.

Sales tax, nexus and your CPA

Sales tax that follows the address

Sales tax in the United States isn’t one tax. It’s a state rate with county, city and special district rates stacked on top, charged on what that particular state decides is taxable, in the states where you have crossed a threshold you may not have noticed.

Registered in one state or in nine, invoices come out right for your situation, and stay right the month it changes. If registration is coming, the first year after you register is the piece to read first.

Sales tax collected Texas · quarter ending September 30, 2026
JurisdictionRateCollected Texas, state6.25%$2,500.00 City of Fort Worth1.00%$400.00 Fort Worth MTA, transit0.50%$200.00 Fort Worth Crime Control District0.50%$200.00 On $40,000.00 taxable8.25%$3,300.00

$48,600.00 invoiced in the quarter, of which $8,600.00 was exempt: $6,400.00 sold for resale against certificates on file, and $2,200.00 shipped to a state this business hasn’t crossed a threshold in. A state return is filed from the jurisdiction lines rather than the total, so DEVIQO keeps them apart from the first invoice. Export it as CSV or PDF, or give your CPA read-only access and let them take it from here.

Where you have to collect

  • Sales totaled by destination state, every month
  • A warning as a state’s running total climbs
  • Physical nexus and economic nexus tracked apart
  • A threshold you set for each state you sell into

What is taxable where you are

  • Taxable or exempt, set per line, not per invoice
  • Exemption and resale certificates held on file
  • Taxable and exempt subtotals shown separately
  • The rate looked up from the delivery address

Records and exports

  • Every sale recorded when it’s invoiced
  • Sales ledger as CSV or PDF
  • Filter by filing period or by state
  • An income summary for your tax return

Why this page shows one city and refuses to guess at yours

Every rate on this page belongs to one address, Fort Worth in Tarrant County, Texas, and every one of them was read from the state’s own published figures on September 3, 2026:

  • State 6.25% and the 2% local ceiling, from comptroller.texas.gov/taxes/sales
  • City 1.00% and the 8.25% total, from the Comptroller’s Texas Sales and Use Tax Rates for July 2026
  • Transit 0.50%, from the Comptroller’s transit authority table, local code 3220996
  • Crime Control District 0.50%, from police.fortworthtexas.gov/ccpd

The four add up to the total the state prints, which is the only reason we’re willing to show them.

We won’t print a rate for your address, because we haven’t read it.

Nor will we tell you whether what you sell is taxable where you sell it. That answer is different from state to state, and it can be counterintuitive. Texas, for one, treats web hosting as a taxable data processing service and exempts twenty percent of the charge, which is the state’s own published position in Comptroller Publication 96-259. Plenty of states tax neither hosting nor design at all.

Nexus works the same way. The Supreme Court decided South Dakota v. Wayfair on June 21, 2018, and the law it upheld caught out-of-state sellers at $100,000 of sales into the state or 200 separate transactions. South Dakota itself dropped the transaction half of that test five years later.

Anything on this subject that’s more than a year old is worth checking again, including this paragraph. So DEVIQO looks the address up when the invoice is raised, and your CPA or your state’s revenue department settles the rest.

Included with your hosting

What the invoicing includes, and the part that isn’t ours

Your hosting carries up to 20 invoices a month, which is more than most one-person trades ever send, and unlimited invoicing if you regularly go past it. Everything in the first column comes with it either way.

The terms printed at the foot of every document are yours to set, and the small print customers ask about is worth ten minutes before you settle on them.

Schedule A

In scope

  • Estimates with optional extras and a valid-until date
  • One-tap estimate to invoice
  • Your logo and terms on every document
  • Sequential numbering and credit memos
  • Sales tax per line, by jurisdiction - or none at all
  • Exemption certificates held against the customer
  • Card, wallet and ACH payments, 0% commission from us
  • Deposits, progress billing and retainers
  • Automatic chasing at 7, 14 and 30 days
  • Late charges counted from your terms, yours to apply
  • Receipts sent the moment money lands
  • A customer list showing who owes what
  • CSV and PDF exports by filing period or state
  • All of it in the DEVIQO dashboard, in your browser
Schedule B

Not in scope

This is invoicing, not bookkeeping, and it isn’t tax advice. It isn’t payroll, it doesn’t reconcile your bank feed, and it doesn’t file anything to any state or to the IRS for you.

  • Bookkeeping and bank reconciliation
  • Payroll, year end and your federal return
  • Filing your sales tax return to any state
  • Telling you where you have nexus or what is taxable
  • Anything that needs a live bank feed

Your CPA takes over here

Give them read-only access rather than emailed spreadsheets, and the records they need are already in the shape they expect. The help center has the walkthrough.

The website is $1. Invoicing is in the monthly hosting

Invoicing isn’t a bill of its own. Today you pay $1 for the website plus your first month of hosting. After that hosting is $8.99 a month, billed on the same date each month until you cancel, and you can cancel in any month.

The same build is openly sold at $1,500, which is what a US agency charges for a small business site of this size. What a website costs in 2026 sets that against the going rate, and a build like this is normally $1,500. So the website is a dollar and finished with.

The monthly is hosting, which any website needs from someone. Ours carries the site, the SSL, the backups, a mailbox, your domain run for you and your invoicing, for less than invoicing software alone usually costs. The .com is included on the Complete plan at $18.99 a month. On Basic at $8.99 a month the name is registered in your own name and run for you, and the registry’s own annual fee for it, about $12 a year, is billed separately at cost.

Nothing on top of that: no fee for an estimate or an invoice, no charge per document, and no commission on what your customers pay you.

Questions

Invoicing questions people ask before they switch

Nothing here is a sales answer, and none of it is tax advice. If yours isn’t on the list, our team is on chat and email.

Ask our team
What has to be on an invoice for it to count?

An invoice has to carry all of this:

  • The word invoice, and a unique number that follows on from the last one
  • Your business name and address
  • The customer’s name and billing address, and the address the work was delivered to
  • A description of what you supplied, and the date you supplied it
  • The invoice date, the payment terms and the amount owed

If you collect sales tax, add the tax as its own line rather than rolled into the price, and show which lines were taxed and which weren’t.

Every one of those fields is on the invoice at the top of this page, and DEVIQO fills them in for you.

How does the sales tax get worked out?

From the address the work is delivered to, not from yours.

A rate is a state rate with county, city and special district rates stacked on top, so two customers a few blocks apart can owe different amounts. The invoice at the top of this page shows the four jurisdictions behind a single 8.25% line, with the source and the date those rates were read printed beside them.

Rates change, so DEVIQO looks the address up each time rather than remembering a number. Our guide to the first year after you register for sales tax walks through the rest of it.

I don’t collect sales tax anywhere yet. Will the invoices still be right?

Yes, and it matters. Collecting tax you aren’t registered to collect isn’t a small mistake.

Tell DEVIQO you aren’t registered and no tax line, permit number or tax wording appears anywhere.

Meanwhile we total your sales by destination state so you can see which ones are climbing toward a threshold, because economic nexus is triggered by a running total rather than by anything you decide to do.

What the threshold is where you sell, and how that state measures the year, is a question for that state’s revenue department.

Can I mark a line exempt, and what do you do with the certificate?

Any line can be marked exempt, and the reason is recorded with it: sold for resale, an exempt organization, or an exemption the state grants for that kind of sale.

The certificate is stored against the customer, its number prints on the invoice, and the invoice shows the taxable and the exempt subtotals separately so the two never blur into one figure.

No certificate on file means no exemption, however obviously a school is a school, so DEVIQO tells you which customers are claiming one without having filed it.

Can I turn the chasing off, or change what it says?

Both. The sequence can be paused for one customer and left running for everybody else, and it stays paused until you say otherwise. Useful for the good payer who is on vacation.

The wording of all three messages is yours to edit, along with the logo, the colors and the terms at the foot of the document, in a few clicks with nothing technical to learn.

If you’d rather not, tell us how you want them to read and our team sets them up for you at no extra cost. The help center has the walkthrough for each.

What if the customer says the invoice never arrived?

You’ll know either way. Every invoice records when it was sent and when it was opened, and both sit on the document: the example at the top of this page reads “Sent Aug 12, opened Aug 13”.

Send it again in a tap, with the same number and the same total, and the chase picks up where it left off.

Going out from an address on your own domain instead of a free webmail account is what stops most of these vanishing into a spam folder in the first place.

Can I charge a late fee, and should I?

You can charge what your own written terms say you can charge, and only that.

There’s no single federal rate for a late business invoice in the United States the way some countries have one, so the number comes from the terms printed at the foot of your document, and state law sets a ceiling on it. What that ceiling is where you are is a question for your own attorney.

DEVIQO counts the days and shows the running figure on the final notice. Applying it stays your decision, and most people never do.

Having it stated, in writing, next to the amount owed is usually what gets the invoice paid, which is the argument our piece on the wording that gets a late invoice settled makes at length.

Does the money come to me, or to DEVIQO?

To you. Payments settle into your own business bank account through the payment processor, and DEVIQO takes no commission.

The processor charges its own rate per card transaction, shown before you switch payments on. ACH transfers cost less again.

We have written up what card fees come to for a small business if you want the arithmetic first, and when to use ACH, bill pay or a card if you’re choosing between them.

What happens when I hit 20 invoices in a month?

We tell you when you’re close, and nothing is deleted or held hostage. Estimates, receipts and credit memos don’t count toward the 20, only invoices do.

If you’re regularly over it, say so and your hosting carries unlimited invoicing from that month on. Change what you are on in the dashboard any month you like, up or down, with no notice period and no exit fee.

I invoice somewhere else already. Can I bring it across?

Send us your customer list, your exemption certificates and your last invoice number in writing, and we’ll set the numbering to carry straight on from where it stopped: no gap, no restart at 001, nothing for an auditor to query.

Old invoices can be uploaded and archived alongside the new ones, at no charge.

If you’re moving the whole site as well, the redesign page covers what happens to the old one.
